My Fireplace Doors LLC, operating MyFireplaceDoors.com (“My Fireplace Doors,” “we,” “us,” or “our”), wants delivery to be as clear and predictable as the purchase itself.
Fireplace products range from small accessories to large glass doors, screens, gas products, and custom-fabricated pieces. Some ship by ordinary parcel carrier. Others require residential freight delivery. Some are ready to ship; others are manufactured specifically for your fireplace.
This Shipping & Delivery Policy explains what to expect from the time an order is placed until it reaches you.
Order Processing
Orders begin processing after payment is approved and all information necessary to fulfill the order has been received.
Depending on the product, this may include:
- Fireplace measurements
- Manufacturer or model information
- Product configuration
- Finish selections
- Photographs
- Shipping information
- Custom specifications
- Customer approval of drawings or order details
Some products are stocked and ready to ship. Others are shipped directly from a manufacturer, distributor, or fulfillment partner.
Custom and made-to-order products generally enter production only after all required specifications and approvals are complete.
Processing Time, Production Time, and Transit Time
A product’s total delivery time may include several separate periods:
Processing time is the time required to review, prepare, allocate, or release an order.
Production time is the time required to manufacture a custom, made-to-order, or special-order product.
Transit time begins after the shipment has been released to the carrier.
An estimated lead time is not the same as a guaranteed delivery date unless we expressly state in writing that a particular date is guaranteed.
Carrier transit estimates begin when the shipment is tendered to the carrier, not when the order is placed.
Shipping Estimates and Delays
We make reasonable efforts to provide realistic shipping and production estimates based on the information available when an order is placed.
Manufacturer production schedules, material availability, carrier capacity, weather, holidays, regional emergencies, transportation disruptions, and other circumstances may affect those estimates.
If we learn that an order cannot be shipped within an applicable promised shipping period, we will communicate the delay and provide any cancellation, consent, or refund options required by applicable law. Federal rules governing internet merchandise orders require sellers to have a reasonable basis for stated shipping times and, when the promised shipping time cannot be met, generally require an appropriate delay option or refund process.
Shipping Methods
Depending on the product, orders may ship by:
- UPS, FedEx, USPS, or another parcel carrier
- Manufacturer-direct shipment
- Distributor or fulfillment-partner shipment
- Less-than-truckload freight
- Specialized freight carrier
- Another method appropriate for the size, weight, fragility, or destination of the product
Large fireplace doors, glass assemblies, screens, and other substantial products may require freight delivery rather than ordinary parcel service.
Split Shipments
Products ordered together may ship separately.
Different items may originate from different manufacturers, distributors, warehouses, or fabrication facilities.
A partial delivery does not necessarily mean that the remainder of the order is missing.
When tracking information is available, separate shipments may receive separate tracking numbers or freight documentation.
Shipping Charges
Shipping charges, when applicable, are calculated or disclosed during checkout, during the quotation process, or before the order is finalized.
Some products or destinations may require charges that cannot be accurately determined by an automated checkout system.
These may include:
- Residential delivery
- Liftgate service
- Limited-access delivery
- Oversized freight
- Remote-area delivery
- Inside delivery when separately available
- Appointment or special handling services
- Reconsignment or address-change charges
- Redelivery
- Storage caused by missed delivery appointments
If a material shipping charge becomes necessary and was not reasonably available when the order was placed, we will contact you before proceeding when required.
Residential Freight Delivery
Standard commercial freight service is designed primarily around businesses with loading docks or equipment for unloading freight.
Most homeowners do not have those facilities.
For residential deliveries, a freight shipment may require residential-service and liftgate-service charges. These services allow the carrier to deliver to a residence and lower a pallet or crate from the truck when a loading dock or forklift is not available.
These services do not necessarily include moving the product into your home.
Unless expressly included in the order, freight delivery generally does not include:
- Inside delivery
- Placement inside the home
- Carrying products through doorways
- Delivery up or down stairs
- Uncrating
- Assembly
- Installation
- Removal of packaging
- Removal of an existing fireplace door or product
Large fireplace products can be heavy. Make appropriate arrangements before delivery if assistance will be needed after the carrier unloads the shipment.
Delivery Appointments
Freight carriers may contact you by telephone, text, or email to arrange a delivery appointment.
Make sure the telephone number and contact information supplied with your order are accurate.
If an appointment is scheduled, someone capable of receiving and inspecting the shipment should be present.
Charges imposed because of:
- A missed appointment
- An unavailable recipient
- Refused delivery without valid reason
- Storage
- Redelivery
- Customer-requested rerouting
may be the customer’s responsibility when the charge results from circumstances within the customer’s control.
Delivery Access
The customer is responsible for making sure the delivery location is reasonably accessible to the carrier.
Tell us before shipment if the destination involves unusual access conditions, including:
- Gated communities
- Narrow or restricted roads
- Islands
- Construction sites
- Farms or rural properties with restricted truck access
- Schools, military installations, or government facilities
- Locations with security restrictions
- Areas where a full-size freight truck cannot reasonably enter
- Other limited-access locations
Special delivery conditions may require additional charges or alternative arrangements.
Inspect Freight Before Signing
Large and freight-delivered products should be inspected before the delivery receipt is signed.
The delivery receipt is an important part of any freight-damage claim.
Before signing:
- Count the cartons, crates, or pallets.
- Look for crushed, punctured, torn, wet, opened, or visibly damaged packaging.
- Look for broken crates, displaced products, exposed glass, or other obvious damage.
- Photograph the shipment from several angles if anything appears abnormal.
- Note all visible damage or shortages directly on the carrier’s delivery receipt before signing.
Do not rely solely on statements such as “subject to inspection.”
Describe visible damage specifically when possible.
For example:
“Crate crushed on right side; frame visible through damaged packaging.”
Keep a copy or photograph of the signed delivery receipt.
Visible Freight Damage
Visible damage should be documented at the time of delivery.
If the shipment has minor or potentially repairable damage, accepting the shipment with the damage clearly noted on the delivery receipt is often preferable to refusing it, particularly for custom or made-to-order products.
A replacement custom product may require an entirely new production cycle.
Refusal may be appropriate when:
- The product is obviously destroyed
- Glass or major structural components are extensively damaged
- The shipment cannot reasonably be handled or secured
- The carrier is delivering a shipment that clearly does not belong to you
- We or the manufacturer instruct you to refuse it
When practical, contact us while the carrier is still present if you are uncertain whether a substantially damaged shipment should be accepted.
Do not refuse an undamaged shipment merely because you have changed your mind about the purchase.
Concealed Damage
Some shipping damage is not visible until the packaging is removed.
Open and inspect the shipment as soon as reasonably possible after delivery.
If concealed shipping damage is discovered, notify us within five business days of delivery.
Send photographs showing:
- The damaged product
- The complete product
- The carton, crate, or pallet
- Interior packing materials
- Exterior packaging
- Shipping labels
- Any visible impact point
Keep all packaging and shipping materials until the claim is resolved or you are told they may be discarded.
Do not install, modify, discard, or attempt to repair a damaged product before receiving instructions unless immediate action is reasonably necessary to prevent further damage or address a safety hazard.
Carrier and manufacturer claim periods can be strict. Delayed notice or discarded packaging may limit our ability to obtain recovery from the carrier or manufacturer.
Nothing in this section eliminates rights that cannot lawfully be waived.
Missing or Incorrect Items
Inspect the contents of your shipment promptly.
Report an incorrect product, incorrect finish, missing component, missing carton, or apparent fulfillment error within 48 hours after delivery when reasonably possible.
Include:
- Your order number
- The item involved
- A description of what is missing or incorrect
- Photographs of the product received
- Photographs of shipping labels and packaging when relevant
A missing component should not automatically be treated as shipping damage. Some products ship in multiple packages or directly from different facilities.
We will first determine whether another shipment is in transit before treating the order as incomplete.
Manufacturer-Direct and Dropship Orders
Many products may ship directly from the manufacturer, distributor, or fulfillment partner rather than from a My Fireplace Doors facility.
Damage, shortage, inspection, and warranty procedures for these shipments may be subject to the manufacturer’s or fulfillment partner’s applicable claim requirements.
Because those requirements may include short reporting periods, customers must follow the inspection and notification procedures in this policy.
When a qualifying problem is timely reported and documented, My Fireplace Doors will coordinate with the manufacturer, distributor, fulfillment partner, or carrier as appropriate.
The remedy available may depend on the applicable manufacturer’s policy, carrier claim, product warranty, and law.
Risk of Loss During Shipment
Unless otherwise agreed in writing or required by applicable law, My Fireplace Doors bears the risk of accidental loss or damage while merchandise is in transit to the delivery destination.
Risk of loss generally passes to the customer when the merchandise is delivered to and received at the designated shipping address, subject to applicable rights involving damaged, nonconforming, or improperly delivered goods. This customer-on-receipt approach is also consistent with the general merchant-seller rule reflected in UCC § 2-509, while applicable law and the parties’ agreement ultimately control.
For properly documented shipping damage or loss occurring before delivery, we will coordinate the applicable carrier or manufacturer claim.
The customer agrees to reasonably cooperate by preserving packaging, supplying photographs, providing delivery documentation, and completing any information reasonably required to process the claim.
After proper delivery, loss caused by theft, weather exposure, unattended storage, mishandling, or other events occurring after the carrier has completed delivery may be the customer’s responsibility, except where applicable law provides otherwise.
Title to Merchandise
Unless a written agreement for a particular order states otherwise, title to merchandise passes to the customer upon delivery to the designated delivery destination, subject to applicable law and any security interest or payment rights that may apply.
Lost Shipments
If tracking information indicates that a shipment may have been lost before delivery, contact us.
Do not assume that a delayed shipment is lost solely because tracking information has not recently changed.
We may need to allow the carrier’s tracing process to run before a shipment is declared lost.
When a shipment is confirmed lost before delivery, we will coordinate the appropriate replacement, refund, or other remedy consistent with the order, carrier process, manufacturer requirements, and applicable law.
Custom and Made-to-Order Products
Custom fireplace doors and other made-to-order products require additional time because they are manufactured for a particular fireplace, opening, finish, or configuration.
Production generally does not begin until all required information has been received and the order has been approved for fabrication.
Once fabrication has begun:
- Changes may not be possible
- Changes may involve additional cost
- Cancellation may no longer be available
- The order may become non-returnable
Production and delivery estimates remain estimates unless a date is expressly guaranteed in writing.
Customer-Supplied Measurements
Customers are responsible for the accuracy of measurements and specifications they provide.
A custom or made-to-order product that is correctly manufactured to the measurements, dimensions, configuration, or specifications approved by the customer is not considered defective or incorrectly fulfilled merely because the supplied measurements were wrong or the product does not fit the intended opening.
Review all dimensions and specifications carefully before approving fabrication.
Measurement-dependent returns and cancellations are also governed by our Returns & Refunds Policy.
If My Fireplace Doors or the manufacturer produces a product that materially differs from the approved order specifications, contact us promptly so the issue can be reviewed and corrected.
Shipping Address
Customers are responsible for providing a complete and accurate delivery address.
Before submitting an order, verify:
- Street address
- Apartment, suite, unit, or building number
- City
- State
- ZIP code
- Telephone number
- Email address
- Any delivery information reasonably necessary for the carrier
Notify us immediately if you discover an address error.
Once an order has shipped, an address change may not be possible.
Carrier charges arising from customer-requested rerouting, incorrect addresses, failed delivery, storage, or redelivery may be the customer’s responsibility.
Refused Shipments
Refusing delivery does not automatically cancel an order or create a right to a refund.
An undamaged shipment refused without authorization may be treated as a customer return and may be subject to applicable:
- Return freight
- Original shipping charges
- Storage charges
- Redelivery charges
- Restocking fees
- Custom-order restrictions
Our Returns & Refunds Policy governs whether a refused shipment is eligible for refund.
Do Not Schedule Installation Around an Estimate
Do not schedule an installer, contractor, construction crew, or other dependent work solely around an estimated production or delivery date.
Receive and inspect the complete product before committing to an installation date whenever reasonably possible.
A freight shipment can be delayed, damaged, separated, or arrive with a missing component even when everyone involved has performed appropriately.
To the extent permitted by law, My Fireplace Doors is not responsible for avoidable installer charges, missed appointments, construction scheduling costs, or similar consequential expenses caused by a customer scheduling work before receiving and inspecting the complete order.
Alaska, Hawaii, U.S. Territories, and International Destinations
Shipping availability and pricing outside the contiguous United States may vary by product, manufacturer, distributor, and carrier.
Contact us before ordering if delivery is required to:
- Alaska
- Hawaii
- A U.S. territory
- An international destination
We will determine whether the product can be shipped to the requested destination and what additional freight, duties, taxes, brokerage charges, documentation, or restrictions may apply.
International shipping is available only when specifically agreed to for the order.
Circumstances Outside Our Reasonable Control
Production and transportation may be affected by circumstances outside our reasonable control, including:
- Severe weather
- Natural disasters
- Transportation disruptions
- Carrier capacity
- Labor interruptions
- Material shortages
- Manufacturer disruptions
- Government actions
- Utility failures
- Emergencies
When these circumstances affect an order, we will communicate material delays when reasonably possible and handle the order consistently with applicable law and our obligations to the customer.
Questions Before Ordering
Some fireplace products require more logistical planning than an ordinary online purchase.
If you are unsure about:
- How a product will ship
- Whether freight delivery will be required
- Whether liftgate service is included
- Delivery access
- Product dimensions or weight
- Measurement requirements
- Custom production
- A special destination
