My Fireplace Doors LLC offers two distinct ways to purchase fitment-sensitive fireplace doors. The responsibility path must be clear before an order is released.

1. MFD Verified Fitment

MFD Verified Fitment is available only when the customer submits the information My Fireplace Doors requests for the specific fireplace and product under review. Required information may include current photographs, measurement photographs, entered measurements, manufacturer and model information, rating-plate evidence when available, site conditions, planned changes, and the exact product or configuration being considered.

Submission of information does not itself create fitment approval. My Fireplace Doors reviews the complete record and decides whether the available evidence is sufficient to approve the fitment.

If My Fireplace Doors is sufficiently confident that the named product and configuration will fit the documented fireplace under the documented conditions, MFD may issue a written Verified Fitment approval. The approval applies only to that fireplace, that product and configuration, and the conditions reflected in the approved record.

MFD records an approved decision in a Fitment Decision Certificate identifying the evidence revision, Product Fit Map and source revision, exact product, approved configuration, and stated conditions. The certificate preserves the decision MFD made; the locked transaction snapshot preserved with the order is the controlling fitment record for that purchase.

When MFD issues Verified Fitment approval and the product is manufactured or supplied materially in accordance with the approved order, My Fireplace Doors accepts responsibility for an MFD fitment error. If the approved product does not fit because the MFD fitment decision was wrong, MFD will provide an appropriate remedy based on the circumstances, which may include correction, replacement, or refund.

2. When MFD Will Not Approve Fitment

My Fireplace Doors does not approve fitment when the available evidence is incomplete, contradictory, unreliable, or otherwise insufficient for a confident decision.

When MFD cannot confidently approve the fitment, we will explain what is uncertain and why. We may request additional photographs, measurements, video, manufacturer information, or other evidence. When an on-site determination is reasonably necessary, we will recommend inspection by a qualified professional who can physically evaluate the fireplace.

A recommendation for professional inspection is not a Verified Fitment approval.

When MFD coordinates an on-site field measurement, the assigned professional documents the fireplace and returns measurements, photographs, access conditions, and uncertainty through MFD’s standardized field report. That report becomes evidence in the Fitment record. MFD alone determines whether the complete record supports written Verified Fitment approval and whether MFD can accept responsibility for the fitment decision.

MFD retains the final fitment decision. A door is covered by MFD Verified Fitment only when MFD issues an affirmative written approval and the customer completes the purchase using the approved, transaction-locked specifications.

3. Independent Purchase

A customer remains free to proceed without MFD Verified Fitment approval. This is an Independent Purchase.

Under the Independent Purchase path, the customer accepts responsibility for fireplace identification, compatibility, measurements, configuration, site conditions, and fitment. My Fireplace Doors does not represent the product as verified for the customer’s fireplace.

If MFD has identified a fitment concern or has declined to approve the application, a customer may still choose to proceed independently where the sale and installation are otherwise permitted. If the customer proceeds, the customer accepts the fitment risk and receives the product ordered subject to the ordinary terms governing fulfillment, shipping damage, defects, warranties, returns, and applicable law.

Independent Purchase is also the normal path when a builder, remodeler, contractor, or owner intentionally selects a product first and constructs or alters the project around that product’s documented dimensions and requirements. In those transactions, the party performing the construction remains responsible for building to the applicable product specifications.

4. Customer Information and Evidence

Customers are responsible for providing complete and accurate information and for ensuring that submitted photographs and measurements reflect the actual fireplace. MFD may compare entered measurements with photographic evidence, manufacturer information, model data, site conditions, and the selected product.

Any material change after approval, including resurfacing, trim removal, new masonry, altered hearth conditions, changes to surrounding construction, removal or addition of an appliance, or another condition that affects the reviewed application, may invalidate the approval unless MFD reviews and approves the changed condition in writing.

5. Editable Profiles and the Recognized Transaction Record

A customer may correct or update measurements in a My Fireplaces working profile. Each saved change creates a new dated version. Updating the working profile does not overwrite evidence previously confirmed for an order.

For a Verified Fitment purchase, MFD preserves a locked transaction snapshot containing the measurement version, submitted photographs, fireplace identity, exact product, approved configuration, conditions, customer authorization, and the date and time recognized for that order. That snapshot, rather than a later version of the editable profile, is the fitment record governing the transaction.

A post-purchase profile change does not retroactively change the Approved Order and does not independently create refund or return eligibility. MFD remains responsible for an MFD fitment error evaluated against the evidence and approval locked to the order.

6. Scope of Verified Fitment

Verified Fitment addresses whether the approved product and configuration fit the documented fireplace conditions reviewed by MFD. It does not replace manufacturer installation instructions, applicable codes, required clearances, professional trade work, or an on-site inspection when one is reasonably necessary.

Verified Fitment does not convert shipping damage, a manufacturing defect, a manufacturer fulfillment error, customer modification, installer error, contractor error, or a later site change into an MFD fitment error. Those issues are handled under the applicable Shipping & Delivery Policy, Returns & Refunds Policy, Warranty Information, manufacturer terms, or other applicable agreement.

7. Written Approval and Record

Only an affirmative written Verified Fitment approval from My Fireplace Doors creates the Verified Fitment responsibility described in this policy. General product information, informal discussion, identification assistance, preliminary recommendations, website content, or submission of a fitment record do not by themselves constitute approval.

MFD may retain the submitted evidence, review notes, product information, written decision, date, time, and related communications as part of the fitment and order record.

8. Independent Purchase Acknowledgment

When a customer proceeds through the Independent Purchase path for a fitment-sensitive product, MFD may require an electronic or written acknowledgment confirming substantially the following:

“I understand that My Fireplace Doors has not issued Verified Fitment approval for this purchase. I am proceeding using my own identification, measurements, specifications, professional advice, or judgment, and I accept responsibility for fitment.”

The date and time of that acknowledgment may be retained with the order record.

9. Safety

Neither purchase path authorizes an installation or use prohibited by the product manufacturer, fireplace manufacturer, applicable instructions, required clearances, building or fire-safety requirements, or applicable law.
